New Survey: Female Small Biz Owners are Stressed, but Determined

Small Business insurer Hiscox USA recently released the results of their latest small business survey that highlights an increase in physical and mental ailments among small business owners, and in particular female small business owners, that I thought might interest you. Here are a few top-line results:

 

  • Physical Ailments: Three quarters of female small business owners reported physical ailments as a result of stress at work, including lack of energy (33 percent), headaches (34 percent), back pain (29 percent) and anxious thoughts (30 percent).

 

  • Causes of Stress: A combination of longer hours, fear and working harder to service new business has led almost one half (42%) of respondents to describe themselves as more stressed than one year ago.

 

  • Workload: Fourteen percent of female small business owners work 11 hours or more daily, although the majority of entrepreneurs (52 percent) reported working between eight and 10 hours each day.

 

  • Determined: The word the most female small business owners (53%) chose to describe themselves at work was “determined,” followed by “focused” (50%) and “flexible” (47%).

 

  • Outlook: Despite increased stress, more than two-thirds feel mentally prepared to tackle the business challenges of the year ahead, which could be related to 61 percent giving priority to their physical health and 80 percent saying they try to manage a good work/life balance. Although only 12 percent believe the economy is already in recovery mode, 56 percent do expect their business to grow in the coming year and only 8 percent expect it to shrink.

Pipelines, people, places and prices

The 4 P’s of keeping your business activities in balance: pipelines, people, places and prices. Each one of these P’s requires your consistent and careful attention. Without a filled pipeline, you will constantly be looking for new clients. Without connecting with people, no one will know or care who you are. Without visiting the right places, you could miss exciting opportunities and you could experience monotony. Without appropriate pricing you could be losing money and/or clients.

Pipelines. Marketing is a verb; meaning an action and when it’s done consistently, it produces results. There are a wide variety of ways to incorporate small marketing tasks that will add up to big results. Refine your marketing message so that it speaks directly to your target audience. Ensure your product or services solve an identified pain point. Clearly communicate your marketing message on your website, blog and social media networks. Keep it fresh. Update your offers and promotions at least, quarterly. Never stop marketing. Staying top of mind ensures potential clients remember your name first when the need for your product or services arises.

People. It takes about 7 touches before a client makes a sale. Develop an effective follow-up system with potential clients. (i.e. 1-day, 3-days, 14-days, 21-days and then monthly newsletter or announcement). Despite the social media wave, there is still a lot of value in face-to-face meetings. Create a personal touch that is unique to you and your customer experience.

Places. Step away from the desk. You can’t get refreshed by doing the same activities and looking at the same four walls day in and day out. Get out and visit local businesses and explore new relationships. Change your routine and experience diverse perspectives by venturing into new geographical areas and seeing people and places you don’t normally visit.

Learn more about recent trends in your industry by connecting with your local professional and trade associations. Attend a trade show in your area or region and seek out new opportunities and markets.

Prices. When was the last time you gave yourself a raise? A raise is always possible regardless of the economy. Consider raising your prices. You might lose a few clients due to the price increase, but you’ll actually be able to give each client more attention, and make more while working less. Market your services to a target market that is recession proof. Do a SWOT analysis and figure out how to service more people at one time for less money (i.e. speaking, ebooks, memberships, teleseminars, etc.)

10 Smart and savvy small business questions for 2011

Before you start the New Year, make a quick analysis of your current business condition so that you can make the appropriate adjustments. Review every aspect of your business so that you are clear about your position, how and why you got here and where you should go from there.

1. Where have you been? Before you can look forward, you have to look back. Good or bad, history tends to repeat itself. Sometimes the old adage is true, if you keep doing what you’ve been doing, you’ll keep getting what you’ve been getting. However, when you are not prepared to adjust to change, you get left behind. Get clear about what your priorities and objectives are, know where it is you need to be and how to get there.

2. Who or what received most of your time, energy and resources? Have you been busy or productive? There is a difference. Busy work simply passes time. Productive work generates results. Have you allowed individuals or clients to deter you from your goals, objectives and priorities? Take the time to cut the fat and work on establishing a pattern of discipline and correct poor business habits.

4. What are your clients’ current needs? In the small business world, things change fast and the only thing clients are loyal to is ensuring their needs are met. How are you keeping up with the changing needs of your clients? When is the last time you asked your clients “How can I help you take your business the next level?” or “How can I be of better service to you?” or “What am I doing really well at?” or “What can I improve on?”

5. Who can help you get to the next level? Real conversations cultivate real relationships. Developing a solid foundation of powerful connections can grow your business fast and effectively. Know how and when to ask for help. Social media is only a means for introductions. You have to put forth the effort to turn those introductions into relationships and then into opportunities. Everyone is only 6 degrees of separation away from the one person who can turn their business around.

6. What received the least amount of your time, energy and resources? Avoiding those things that you don’t want to know, do, admit to or need to change can stifle and eventually destroy your business. Not to mention you are missing out on a golden opportunity to LEARN. The wisdom is in the journey. With each dreaded task or fear you face, you empower yourself to be stronger and more confident to face the next one.

7. How can you make better business decisions? Decision paralysis and information overload plagues many small business owners. However, overcoming them is not as hard as you would think. Knowing your purpose, your priorities, your ideal client and your capacity keeps you armed and prepared to make quick judgments on how new ideas, thoughts, etc. fit into your bigger picture.

8. What facet can I improve? How are you honing your business skills? Are you seeking wise counsel, attending workshops and conferences, reading business books, acquiring professional certifications, etc. You can only rely on your current knowledge for so long. Keep your skill set, your awareness and principles current and up to date. Commit to improvement and never be satisfied with your current level of knowledge.

9. How will I measure progress? You won’t know how far you’ve come until you know where you’ve been. How will and do you measure success and progress? Be specific and realistic. Lofty goals can be burdensome just thinking of them. Make sure your goals are measurable and check your progress at least once per month so that you can make adjustments and changes where needed.

10. How can you be prepared for being in the right place at the right time? Plan appropriately and allow for flexibility. Practice business discipline. Be consistent. Be clear and concise. Your power is not in the number of connections, but in your relationships. Never be afraid to ask for help.

23 End of the year tax tips for small business owners

With only a few weeks left before the end of the year, instead of making a mad dash to the mall, make a mad dash to your accounting books and look for some last-minute ways to save money, spend money and prepare for the 2011 tax season. It’s not too late to get your books in order for a fruitful year. Below are some tax tips you may have overlooked, forgot or simply did not know.

Although, many of the contributors are tax professionals, please consult your tax advisor for additional information and details on these tips apply to you.

2.  Defer income until January if possible so you will not be taxed on it until 2011. If you own stock that has decreased in value and you plan to sell it, do so before the end of the year so you can claim the capital loss on your 2010 tax return. Charles E. McCabe, CEO, www.peoplestax.com

3.  Prepare for January “sticker shock.” Several factors could lead to Americans taking home less money in their paychecks starting in January: expiring Bush Tax Cuts, expiration of the Making Work Pay credit (extra $400 – $800 in your paycheck) and Higher health care premium costs. 5.  The new healthcare legislation passed this year will require businesses to issue Form 1099-MISC to any for-profit corporation paid $600 or more in a calendar year starting in 2012. Now is the time for businesses to begin updating their accounts payable procedures and processes to collect this additional information. 6.  Establish a file folder marked 2011 Taxes. As you start to receive the annual on slot of “Important Tax Documents” in the mail simply place them in the folder you created and enjoy knowing where all of your documents are when you are ready to file your return.  Gather all of your receipts and place them in a resealable envelope or Ziploc bag to limit the risk of losing one around the house or during transport to your tax preparer. Ever stopped quickly at a stoplight and had the entire file folder empty out into the floorboard of your car or have something blow out a rolled down window? How valuable could that $100 receipt be? 7.  If you already have tax problems, stop procrastinating. The worst thing you can do is to ignore your tax problems. And with tax hikes planned for 2011, you need to get your own house in order now. If you have un-filed tax returns and/or you currently owe the IRS money, deal with it now before the new tax hikes kick in. 8.  Equipment, furniture, and vehicle purchases made before December 31, 2010 will be eligible for a temporary bonus depreciation which allows an extra 50% of the cost of the item to be depreciated in the first year it’s used in your business. This can be especially beneficial for passenger vehicles used in a business as, without the bonus amount, depreciation on them would be limited to less than $4,000 in the first year. 10.  The best tip that helps me organize for taxes is to charge as many items as I can on my debit card. I then make copies of my debit card statements and place them into a file so that I can go through them line by line. 11.  In my business as a consultant to entrepreneurs entering franchise business ownership from corporate America, I see many that have been downsized or displaced. This means they could have had significant income during the year and a severance package. I encourage my clients to meet with their CPA before the end of year to understand the tax benefits of purchasing their new franchise business in the same year they experienced higher income as opposed to waiting until the next year when they are likely to have less income as there business opens and grows. 12.  Take stock of your home office. If part of your home is designated solely for business, you may be eligible to claim a tax deduction for some of your expenses. Be careful what you claim, however. The part of your home that you are claiming must be the principal place of business and cannot be used for something other than business. 13.  One of the easiest win-win situations for year-end tax planning is to clean out your closets and donate what you do not need to charity. Make an accurate list accurately detailing the cost and true fair market value for each item that you are donating. You can deduct the lower of the cost or fair market value. 14.  Buy health insurance through your employer even if you have an existing condition, you cannot be denied. Employers are required to cover no less than 72.5% of the cheapest health insurance plan for individuals, and no less than 65% of the cheapest plan for families. 15.  Estimate next year’s taxes. It is a good idea to estimate next year’s taxes and plan based on the estimate. This is especially important for people who will be impacted by the expiring tax cuts. All tax brackets are likely to increase. Major changes are in store for married couples and parents, as well as people who owe estate tax. 16.  Hit the books or attend a business conference. Small business owners who are interested in furthering their education should be aware of current tax incentives. The amount and type of tax deduction depends on a few things (1) classification (sole proprietorship or C corp.) (2) type of education, and (3) the small business owner’s personal tax background. Examples include: Small business owners can take advantage of the AMERICAN OPPORTUNITY CREDIT of up to $2,500 per year for the first four years of higher education through 2010. After 2010, it will revert to the HOPE CREDIT of up to $1,800. Small Business owners can deduct attendance fees, and even room and board for business/educational seminars they attend. 18.  With the IRS, spelling counts. Double-check the correct spelling of employee names and addresses, and especially Social Security numbers. Do the same for 1099 payees. Len Redon,www.paychex.com

19.  Use the 12 by 12 Method to get organized for tax time. Give your self 12 days during the next few weeks to through your bank transactions and credit card transactions to isolate those charges that are tax deductible. 20.  If you own a small business, consider paying your kids to help you and take a tax deduction of up to $5,800 per child depending on the job they are doing. The child will not have to pay income taxes if they are under 18 and you will not have to pay employment taxes. This is a perfect way to shift income off of your return. Karla K. 21.  Make up an estimated tax shortfall with increased withholding. If you’re in danger of being penalized for not paying enough tax throughout the year, try to make up the shortfall through increased withholding on your salary or bonuses. Paying the shortfall through an increase in your last quarterly estimated tax payment can still leave you exposed to penalties for underpayments in previous quarters. But withholding, is considered to have been paid ratably throughout the year. So a big bump in withholding on high year-end wages can save you in penalties when a similar increase in an estimated tax payment might not. 22.  Know what medical deductions are allowed. There are numerous medical costs that are deductible including lasik eye surgery, doctor-prescribed weight loss programs and capital expenses for ramps, railings, etc. installed in a home to accommodate disabilities. 5 Social media myths that cause missed opportunities

Social networking is a common time trap for many small business owners. Although we recognize the importance of getting out and meeting people and networking, you do have to be mindful of the real purpose of networking – to put you in close or closer proximity to your ideal clients. Don’t be discouraged by your lack of social media skills and don’t be presumptuous in thinking social media is a cure-all. Here are some important myths to keep in mind when it comes to incorporating social media into your marketing efforts:

I don’t want my private information out there. Many business owners who are unfamiliar with how to actually use social media are concerned about their personal information being available for all to see. The truth is, you can limit what information you post to your profile. More people do themselves harm, by posting unfiltered comments and photos.

That’s for kids and “young folk.” Social Media is not a “trend,” it’s a vital and necessary business tool for all businesses. You simply cannot deny the fact that every day technology advances. It allows us to do things quicker, access information and resources in seconds and connect with people from across the world. The truth is, the “young” may simply adapt to the use of technology faster. The longer you take to adapt to the continuous growth of technology and social media, the bigger the gap will be between you and your clients.

My business doesn’t need it. Regardless of what business you are in, social media has a purpose for EVERY business. It can be used to solicit, engage, communicate, sell, announce, inform, educate, contact, manage, maintain, provide and more. All of which are important to the purpose of a business. You always want to have more clients in your pipeline than you can service and more people interested in your product than you can supply. The truth is, the sole purpose of being in business is to provide a quality product or service that meets the need of a designated target market. To effectively do this, you need to be able to reach your target market from a variety of platforms and that includes social media.

Posting your product or services will automatically generate clients. Social Media is not a “cure all.” It is a supplement to traditional networking and marketing techniques. You cannot replace personal touch with technology. People buy from people and businesses they trust. To build trust, you have to engage people in dialogue, be accessible and keep the lines of communication open. The truth is, you have to have a strategy to social media. Who are you trying to connect with? How do they want to be communicated with? What are their needs? Where do they look when they need your product or services? Why should they choose your product or services?

More contacts means more business. Just because you have 100 people following you or connected to you doesn’t mean they need what you are selling. Your product or service needs to be relevant to meeting your target market needs. Having a lot of contacts is merely a means to “spread the word.” The truth is, have more contacts simply provides you with an opportunity to share your information with more people. That’s it. Whether or not they “purchase” from you takes much more and requires a carefully planned strategy.

Online financial transactions are not safe. We’ve all heard tragic stories of people making online purchases only to be defrauded or have their identity stolen. The truth is, you can take precautions that will dramatically reduce, if not eliminate, the occurrence of fraud or theft. For instance, when you make online purchases, look for trusted symbols like Verisign, Trustee and Better Business Bureau. DO NOT respond directly to emails from your bank, PayPal® or other financial institutions. ALWAYS log-in from the official financial institution’s home page from the search menu or your saved file. Also, carefully examine the return email address. For example: (SPAM) paypal@solonet.co.id (REAL)service@paypal.com DO NOT use links found in your email, log-in separately online. Spammers have been known to send fraudulent messages wanting you to verify your personal information. NEVER verify personal information for a financial institute online. ALWAYS call the 800# found on your card.

There should be a method and purpose behind your social networking efforts. Know what it is you want to accomplish (i.e. meet a decision maker, meet potential collaborative partners, ask questions for market research, connect with others in your industry, etc.). Change is not as easy as you think

Progress should be every small business owner’s objective whether it be increased sales, establishing expertise, brand recognition, organization, functional systems, etc. The list could go on. With a new year, brings excitement, motivation and aspirations. However, it also brings new challenges, anxiety, uncertainty and soon, overwhelm.

The problem with a new year and resolutions is that the New Year essentially is just another day. Unfortunately, we don’t get a clean slate at the strike of mid-night, so all of our issues and concerns and disappointments of the day before are still there. With resolutions, we employ the best of our intentions and ideals to motivate ourselves to look forward to a better year and give us hope. However, resolutions become short-lived and the New Year gets tramped on in anticipation of yet another new year. And real change becomes the daily struggle again.

Progress can only be made with careful calculations. You have to truly understand how you got to the point you are at right now; the past. You have to know who you are and what your capacity is. Sometimes the best of intentions cause the greatest harm; the present. And you have to be able to move forward from a standpoint of reality and practicality; the future.

The past. You can’t move forward without knowing where you’ve been. There is a reason we’ve heard this over and over again. Because it’s true. How will you ever know what needs to change unless you know what the underlying faults and root causes of missed opportunities are? Just like a doctor, you have to treat the disease, not the symptoms. If you are lacking a clearly defined target market, you may not be clear on what the benefits of your product or service are.

The present. What are you capable of right now? With everyday distractions, deadlines and commitments, know what you can realistically expect from yourself. Know your faults. Know your strengths. And be able to exploit them both.

The future. Rome was not built overnight, so why do we continue to expect ourselves to achieve so much in such a short period of time. Without benchmarks to closely measure your progress on a regular basis, you’ll have no idea what works, what doesn’t work and why. Which, in turn, prevents you from making necessary adjustments. (i.e. how will you know if you are reaching your ideal clients?) Real progress is carefully planned for and measured. Your future is created by the actions you take today.

Real change should yield progress. Progress cannot be made without proper planning. Smart and savvy small business owners understand the importance of and value proper planning. Proper planning is never complete without giving careful thought to the past, present and future. So, if you resolved to make changes this year and find it difficult to break away from old behaviors, take some time to reflect and understand why you do what you and how you can better work within your means.

35 Ways to keep your clients YOURS

What does it take for clients to continue to choose your product or service over your competitors? Many small business owners seem to think it boils down your client service philosophy. Even if your product or service is needed, there is no guarantee your client will return to use it again.
1. We first developed a plan for what it is we wanted to do; we then found out what our clients wanted (we actually took the time to meet with many of them). What happens when you take your own advice? (Part III)

This is Part III of a four-part series on “what happens when you take your own advice.” (Part IPart II ). In the middle of a re-brand of my existing business, my husband and had the opportunity to open a fine art gallery (seewww.evolvethegallery.com). To minimize the disruption to my existing business and maintain my clients’ needs, I relied heavily on my established systems and the same tips, tools and techniques I encourage my clients to use. Including:

Collaboration with complementary businesses is a must. A great way to collaborate with other businesses is to have them contribute to and sponsor your event. They get the exposure and you get the added help, product or service. You always want to enhance the value of what you are providing your clients. Look for hidden and creative opportunities in your local communities.

There is a small movie theater (The Guild Theater) across the street from our gallery. As part of our inaugural opening, we wanted to show movies that went with the theme of our show. The movie theater was looking for new ways to draw traffic and increase their presence in the community and we needed a cost-effective way to provide film-screenings. We invited the manager over for a tour of the galley and discussed the benefits of collaborating. It was a win-win. So much so, they offered to do the film screenings every Friday for a month at no cost to us and we did the same by offering the screenings to our guests at no cost. Yes, free double-feature film screenings for a whole month (and access to the theater for two complimentary panel discussions on Saturdays to boot! How’s that for collaborating and keeping it local!)

Never underestimate the power of 6 degrees of separation. Connections can put a business on the map quicker and faster than “word of mouth.” Everybody knows somebody who can help somebody. Through six degrees of separation, we were honored to have philanthropists, museum curators, the Mayor and a Senator either attend our private preview reception or come by for a private tour. In addition, when we attended a book signing and discussion at the Thelma Harris Gallery, we met fine art Master, Richard Mayhew, and Bernard and Shirley Kinsey (whose personal art collection is now on exhibit at the Smithsonian). During our due diligence, we visited many galleries to see how other owners operated, looked for ways to distinguish ourselves, ways to collaborate, yielded wisdom from the experts, acknowledged their mistakes and made some good friends along the way. Thelma was kind enough to welcome us into the industry with open arms; which included introductions to art legends. The Kinsey’s are the ones who advised us to contact Senator Price’s office (see Part II).

On the day after one of our panel discussion we received a beautiful book reflecting 38 phenomenal years ofBen F. Jones creative works. There was no note, just the autographed book and a business card. When we called Ben to thank him and find out how he had heard about us, he simply said he read about our opening in a blog (The Black Art Project). After a delightful conversation, needless to say, we were humbly honored and floored. The Internet has made it a small world and you never know who knows who.

Always capture your leads, follow-up and keep in touch. Every business should have a platform for engaging and capturing leads. This could be a sign-up for newsletter box, link to a landing page, CRM system or even a link to your Facebook fanpage. For live events, it could be a registration sheet, sign-in sheet or guest book. Don’t pass up the opportunity to introduce potential clients to your product or services, share upcoming events, specials, etc. via newsletter, e-blasts and online updates. Staying top of mind is crucial. People want to know “what’s next?” and “what’s new?” CAVEAT: Do not overburden new clients and your connections with unnecessary emails and updates. It is a major turn-off and you will soon see your numbers decrease instead of increase. Be relevant, informative and resourceful.

To date, the gallery has been extremely well received in the community and we continue to be amazed at how fast the word is spreading and the wonderful people we are meeting. However, now that the “fanfare” of the grand opening has worn off, it’s time for the real work to begin; the work of maintaining and sustaining a business. There is no way I could have opened a second business without having functional systems in place with my existing business; Simplicity Mastered. The chaos and confusion would have been insurmountable and I would risk losing my clients.

Never underestimate the power of Simplicity. When your operations are organized and streamlined, it makes it easier to introduce new products/services and test new ideas. It helps you manage information and stay focused on your priorities and objectives. It also makes stepping away, less disruptive.

There’s a reason why my business is called Simplicity Mastered. There is a reason why I specialize in simplifying business processes. Owning a business doesn’t have to be hard. But it does need to be functional and productive. And it needs to be effective, efficient and done smart. There is a reason why overwhelmed and frustrated business owners call me to help them be mentally and intellectually organized to grow. I keep things practical, realistic and utilize existing resources. At some point, you have to put knowledge to work and startdoing. You are responsible for your business; the good, the bad and the ugly. It will grow or fail by your action or inaction. Make a commitment to make better business decisions today. That includes asking for help. We could not have accomplished all that we have without asking for help.

What happens when you take your own advice?

Sometimes we talk the talk, but aren’t necessarily walking the walk. I wanted to share with you what happened when I applied the same advice I’ve been giving my clients for years.

My husband and I recently opened a fine art gallery. We had an opportunity present itself, we explored its potential and we took action. Neither of us are artists, nor do we have any extensive experience in the art industry. In fact, we are complete novices. That may not seem so far fetched, if you knew us personally. But what is interesting is that I was able to get a movie director to sit on our panel discussion, meet a fine art Master, get a visit from the Mayor, have a Senator over for lunch and have over 300 people show up for our “private” preview and do it all in about 60 days. All I did was take some of the same techniques, tricks and tools that I’ve been sharing with my clients for years and applied them to our newest venture.

Your business plan in 60 minutes. Get focused and get ahead.

One of the quickest ways to re-group when you are overwhelmed in your business is to get back to your fundamentals. Being overwhelmed is a sign that there is a glitch in your system or worse, you lack a functional system. Something is off, and at the core it will be connected to your vision, purpose, priorities, target market, communication, management or some other business fundamental.

Going back to answering the “who, what, where, when, why and how” can provide you with interesting insight on where you started, where you are and where you want to be. It’s a quick way of seeing where you may have went wrong or deviated off course. When done properly, meaning digging deep, gaps and disparities will begin to appear. Take a close look at your business fundamentals by answering the “who, what, where, when, why and how” and see where priorities need to be re-aligned:

Who are you serving? Everyone is not the right answer. What is their demographic (age, gender, profession/occupation, income, hobby, etc.) You want to know who benefits the most from using your product or service. What is your industry background and how can those two elements cross paths? What does your ideal client look like and where can you find them?

What are you doing? What need are you fulfilling? The core purpose of your business should clearly answer this question in a short succinct paragraph.

Where are you? Are you in close proximity to your target market? Are you mingling in the same circles? If you are a virtual assistant, you don’t want to spend 90% of your marketing efforts and time networking and socializing with other virtual assistants. Go where your clients are and make it easier for them to find you.

When are you going to accomplish objectives and measure your results? You need to have timelines and deadlines. They help create a sense of urgency and they help provide checkpoints to ensure you are moving in the right direction. Without benchmarks and goals, how will you know your efforts are effective or efficient?

Why? What’s your story? Why are you doing what you do? What is your purpose? What is your passion? Know why you are doing what you are doing and understand how it relates to your principles and personal vision. Make sure it has meaning.

How are you making someone’s personal or professional life better or enhanced? How are you setting yourself apart from your competitors? No matter what you sell… product or service, it should be for the benefit of something or someone. It should be useful, relevant, time-saving, money-saving, better quality, better service, etc. Figure out what it is that puts you above the rest and maximize that strength. Remember, people do business with people they know, like and trust.

Having a written plan helps you to stay focused on your priorities and offset information overload. What doesn’t apply to achieving your objectives, you can quickly disregard.

Your business plan doesn’t need to be lengthy or burdensome. It simply needs to cover “Who, What, Where, When, Why and How.” Answering these questions can be overwhelming and sometimes confusing. Not knowing who to talk to and where to go for information can hinder your ability to lay a solid foundation for your business. If your doors are already open and you’ve hit a wall and found yourself in a hole, the best way to turn around is to stop digging. How to check the pulse of your business with Google

Has your business arrived? How do you know? Who knows you exist? Where do you exist? You should always stay abreast on what is being said about your business on the Internet. And you should always stay abreast on how and where your business shows up. This information can provide you with a lot of insight on how your business is perceived, where you are being found and what adjustments you need to make in your social media, marketing and branding efforts.

Googling your business name is different from how your business shows up when people type in search keywords. When you Google your business name, you want to be mindful of the following:

You should always be first. Googling your business name, should result in your business website showing up first. Your Internet presence and social media efforts are directly correlated to this position. The bigger your Internet presence, the higher your name is on the results (rank) and the more pages your business name shows up (depth).  Ultimately, you want your business name to show up on at least the first 2 or 3 pages; the deeper the better.

Watch for the social media sites that show up with your business name (this is tied to your activity on social networking sites). You can use this information to help measure which social networks you belong to that get the best SEO. Mingle more and increase your participation on those sites.

Search with your name in quotations and search without them. Take notice of the other business or sites that show up when you Google your business name. Is there any correlation? What do you have in common? Are there new keywords that you can incorporate into your tags?

How do you organically increase your Google presence?

Be consistent: Make sure all of your profiles are complete and have a photo; include a link to your website in your signature, add your business profile to Google maps, Yahoo and Bing.

Connect: Use your name as the text for links to your website, include video in your blog/website, do interviews, etc.

Communicate: Start your own blog, ghost write for other bloggers, submit articles to article banks (articlebase.com, Business Know How, eHow, etc.) participate in discussions and submit relevant comments.

Be in full control of your business at all times and in all aspects. Know where you are, what’s being said and be an active participant. Perform a little recon and make sure you check the pulse of your business consistently and on a regular basis. When done right, managing your presence on the Internet allows clients to easily find information on your website, products and services, your articles, images, videos and social interests and community involvement; which in turn, makes you accessible.

3 Quick tips for generating bright ideas

The best ideas usually come by happenstance. You can’t will them into being on a moments notice. You can encourage the generation of bright ideas, however, by changing your environment, conversation and thoughts.

Sometimes, as small business owners, we are so consumed with daily activities we barely have time to think. This makes it difficult to not only generate new ideas but to recognize the opportunity when they present themselves.

Generating bright ideas can pump new blood into an otherwise stagnate or boring business. Being able to capitalize on bright ideas gets clients reinvigorated, draws attention to your brand and keeps your business fresh and lively.

They said what?!

As entrepreneurs, it is impossible to have all the answers and sometimes we need a little assurance that we are moving in the right direction. You are often encouraged to seek outside help, support and guidance. Professional counsel, a colleague or close friend can be fantastic resource.

However, the caveat is that sometimes the advice you receive is not sage. Despite your need for guidance, sometimes you sense that what you are being told is flawed or just doesn’t sit right. When you seek the guidance of outside counsel, stay alert to your intuition, do your own due diligence and make sure they are providing you with an objective perspective and not “tainted glasses.”

Some savvy entrepreneurs shared some of their worst business advice with us and a lesson or two that can be learned along with it:

7 Creative tips that could change the way you do business.

Sometimes momentum comes from making the smallest tweaks and changes. It’s not always about “going big.” Why not keep it simple for a change. Stop throwing everything at the wall hoping something will stick. Pick 1 or 2 things and make them work. Concentrate and focus on doing them right, doing them well and doing them consistently. Any one of the following tips could be a great source of rejuvenation, organization or inspiration:

1.  Specialize and stick with it. Don’t be afraid of creating a name for yourself. You should create your niche early in your business and continue to refine it. David Newman says, “Wannabes know 10 topics 1 foot deep. Experts know 1 topic 10 feet deep.
2.  Give away something free to everyone who brings in the print version of your advertisement. This is a great way to see which ads work, which ones don’t and which ones are effective.
3.  Got an overstock of audio CD’s or a product you just can’t seem to sell? Offer it up in gift bag or offer a “name your price” program.
4.  Cloud compute. Use web-based applications for efficiency, increased security (review and check them out first), to access your information for anywhere and for better organization. Always start with free before you upgrade to make sure the system meets your needs.
5.  Lessen your impact on the environment (personally and) professionally. (i.e. only print when necessary, use both sides, sign documents electronically with programs like Ecosign https://secure.echosign.com/public/home, turn your computer off at night and on weekends, change the light bulbs in your office, recycle your ink cartridges and reduce unnecessary car trips.
6.  Offer a proposition to your competitors to trade or exchange clients you were both unsuccessful in selling to.
7.  Make the most of networking opportunities. When you are at an event have an objective and purpose (i.e. to find 3 people in your industry, 2 people who need referrals to someone you may know, 1 person to remember who you are).

BONUS: Professional image. Just because you are a small business doesn’t mean you have to present yourself like one. Your entire profile should always be professional. YOU are your brand. Everything that has your business name on it (website, business card, press kit, etc.) represents you and your brand. Make sure your marketing collateral is consistent, clean and clear and that includes you!

3 Words small business owners should embrace

“I am sorry” is the most important thing you could say to a dissatisfied client. Every business owner has made their share of mistakes and will certainly continue to do so if they are progressing. Many mistakes can be mitigated with a simple “mea culpa.” However, many small business owners tend to offer up excuses or worse, brush off the error. As consumers, who really wants to know what the excuse is anyway? Don’t we all just want an acknowledgement that we were wronged? Wouldn’t you prefer to have someone offer you a sincere apology and small gesture of recompense than to have him or her plow you with excuses? Who cares why it happened. It happened.

Great clients are forgiving, new clients are cautious and potential clients are on the fence. When you make a mistake with a client, just fess up. Something as simple as saying “I am sorry” does 3 things:

  1. It acknowledges that you missed the mark and have fallen short of providing your client with a pleasant experience. Acknowledgment 90% of the remedy.
  2. It shows you take responsibility for the error regardless of how it happened and who is really at fault. You represent your business and that includes the vendors your use, the employees you hire, your collaborative partners, your referrers, etc.
  3. It provides an opportunity for you to resolve the error. You don’t need to give away the kitchen sink, but you certainly need to compensate your client appropriately (which could be as small as a discount or added product or as big as a complete refund).

The next time you miss the mark with a client, apologize first. Save the excuses and start with an apology. If they require an explanation, be direct, be clear and be accountable. Clients want what they pay for and they want a pleasant experience. Good news travels fast. Bad news travels at the speed of light. One bad client experience can cost you a minimum of 10 potential clients. Don’t pass up an opportunity to keep your clients happy, satisfied and returning!

Small business owners should cancel all unnecessary meetings

One of the best ways to recapture energy and time is to identify timewasters. Unnecessary meetings can be major time and energy wasters for small business owners. Be mindful of how you spend your working hours. Make them productive, make them effective and make them efficient. The more you ask yourself “what decision needs to be made?” or “how will this bring me closer to meeting my goals and objectives?” the more you will start to eliminate unnecessary meetings. With all the technology we have today, take advantage of ability to reduce travel time and expenses.

Face-to-face meetings should be scheduled wisely. They should include establishing a personal connection with a potential client, sales dialogue and persuading or soliciting a decision. Most other meetings should be done virtually. For more effective and efficient meetings:

  • Make sure there is a real purpose for your meeting or event and predetermine your outcome. If your meeting involves: business negotiations, connecting with a decision maker, personal favors, promises, understandings, coordination, persuasion of others, expression of emotions, etc. they should be face-to-face. If not, schedule a virtual meeting.
  • Use technology to make scheduling easier and stop playing phone tag. Sites like TungleDoodle,Bookfreshand Setster allow you schedule a board meeting, business lunch, conference call, family reunion, movie night, or any other group event.
  • Use your virtual meeting to determine the need for a face-to-face meeting and cover the basics (i.e. draft an agenda, review material, etc.) Use sites like DimDim.comgotomeeting.com, conference call lines, Skype and video conferencing to save time, gas and money and still achieve optimal results. Be sure to send visuals (i.e. PowerPoint, reports, documents, presentations, etc.) ahead of time so that you can review them together online. As a small business owner, you can’t afford not to streamline your business operations, work with a purpose and be efficient. So before you schedule your next meeting, ask yourself, “What is the purpose?” “Is this the best use of my time?” and “How will this bring me closer to my goals and objectives?” and cancel any current unnecessary meetings.

Small business owners shouldn’t fear failure

Failing can bring you closer to success when you learn to embrace it. No business achieved real success without failing first. Embracing failure can be difficult, but it can also be empowering. What is it that is causing you fear? Is it real or imagined? Sometimes we create our own “monster in the closet.” What’s the worst-case scenario if you fail? Failure forces you to face your errors, shortcomings and fears, which are required for growth.

Make no mistake, if your business is going to be a success, you will certainly face some failures along the way. If and when you do fail, could you start again? What could you do differently? Take precautionary measures and limit your liability to help mitigate losses. Consider the following:

  • Analyze your previous mistakes: Be clear about what works and what doesn’t work. Know what went wrong and why and correct it. The worst thing you could do is to make the same mistake twice. Also, learn to use your weaknesses as strengths.
  • Ask for help before you need it: No business owner is an island. Use your sphere of influence, advisory board, mentors, coach, colleagues, associates, etc. (or micro business therapist) to help you determine your best plan of action, identify gaps and address needs. If you go it alone, you will certainly increase the odds of you missing something important or relevant.
  • Proper planning prevents poor performance: Never proceed without a plan. Give careful thought to goal setting, campaigns, communications, organization, etc. Do your homework and research. Due diligence will reveal the pros and cons of any venture or concept. Always proceed with both eyes open to the possibilities and opportunities.

There are valuable lessons in failure. When you acknowledge that failure is possible and identify the source of your fear, you can work through it. If you learn from your failures and mistakes, you empower yourself with wisdom, confidence and the courage to face your next one.
